FreshBooks — the Canadian freelancer favourite
FreshBooks was founded in Toronto and built its reputation on invoicing for freelancers and small service businesses. Invoices look professional, you can accept online payments, set up recurring invoices for retainer clients, and send automatic late-payment reminders. Because it is a Canadian company, GST/HST handling by province and CAD-first billing are native, not bolted on. It is a paid subscription (with a free trial), so it makes the most sense once you are billing regularly — roughly the point where manual invoicing starts eating an afternoon a month.
Good fit if: you are a Canadian freelancer or contractor sending invoices weekly and want the smoothest GST/HST experience.
Wave — the free starting point
Wave is also Toronto-based and takes the opposite approach: invoicing and accounting are free, and the company earns revenue from optional paid add-ons like payment processing, payroll, and bookkeeping services. For a freelancer sending a few invoices a month, the free tier covers the essentials — professional invoices, tracking who has paid, and basic income/expense records. The trade-off versus paid tools is fewer automation features and less hand-holding at tax time.
Good fit if: you are just starting out, keeping costs at zero, and want more structure than a free generator without a monthly subscription.
QuickBooks — the accountant-approved workhorse
QuickBooks (by Intuit) is the most widely used small-business accounting software in North America, and the Canadian edition handles GST/HST and QST. Its strength is depth: invoicing plus full bookkeeping, payroll add-ons, and reports your accountant already knows how to read. That depth comes with a steeper learning curve and a paid subscription. If you already work with an accountant, ask what they prefer — many Canadian accountants standardize on QuickBooks, which can save you fees at year-end.
Good fit if: you want one system for invoicing and bookkeeping, or your accountant already works in QuickBooks.
Zoho Invoice — the free plan with room to grow
Zoho Invoice offers a genuinely free plan for invoicing — estimates, invoices, client portal, and payment reminders — and sits inside the wider Zoho ecosystem (CRM, projects, books) if your business grows into needing more. Tax rates are configurable, so Canadian GST/HST rates can be set up per province. It is less Canada-specific than FreshBooks or Wave out of the box, but the price (free to start) is hard to argue with.
Good fit if: you want a free invoicing tool today with an upgrade path into a full business suite later.
